Reminder <> Task Sync

You can link any task in your notes to an Apple reminder.

The task and the reminder stay in two-way sync: complete it in either app, change the title or due date, and the other side updates automatically. This also means you get notifications for your tasks on all your devices — without leaving your note.

Requirements: NotePlan 3.21.2 or newer, and permission to access your Reminders (NotePlan will ask the first time, or grant it under System Settings → Privacy & Security → Reminders).

Option 1: Use the menu

On iOS

Tap into the task line, then open the task menu on the toolbar (left most option). Choose "Send to Reminders":

On Mac

Either right-click the task and select "Send to Reminders", or hover over the task and click the arrow button that appears at the beginning of the line — the popup contains a "Send to Reminders" button next to Complete and Cancel:

In both cases the due date is taken from the note (daily notes) or from a >date tag on the task line, if there is one. Once the reminder is created, a small reminder "pill" appears attached to the task.

Option 2: Type "@remind" behind a task

If you prefer the keyboard, simply type @remind at the end of a task line. As soon as you finish the tag (close the parenthesis and leave the line), NotePlan creates the reminder and replaces the tag with the reminder pill:

You can control the due date, time, and list with optional arguments in parentheses:

  • @remind — no arguments. In a daily note (or on a task scheduled with a >date tag), the reminder is due on that day. In a regular note without a date, a date-less reminder is created.
  • @remind(14:30) or @remind(2:30pm) — just a time. It's combined with the note's date (or the task's >date tag). In a note without a date, the next upcoming occurrence of that time is used.
  • @remind(2026-08-12) — a specific date.
  • @remind(2026-08-12 14:30) — a specific date and time.
  • @remind(14:30, Errands) — add the name of a Reminders list as the second argument to file the reminder into that list. You can also use the list alone: @remind(Errands). Without a list, the default list from your Reminders settings is used.

Tip: Priority syncs too. If your task contains exclamation marks (!, !!, or !!!), they are translated into the reminder's priority (low, medium, high) — and kept in sync both ways.

Editing a linked reminder

Click (Mac) or tap (iOS) the reminder pill to open a small editor. There you can:

  • Change the due date and time (or remove them)
  • Move the reminder to another list
  • Open it in the Reminders app
  • Delete the reminder

The pill shows the due time whenever one is set, and the date only when it differs from the note's own date — so a reminder due "today" inside today's note stays nice and compact.

What stays in sync

  • Completion: Check off the task in NotePlan and the reminder is completed — and the other way around. When a reminder is completed outside NotePlan, the task gets a @done timestamp.
  • Title: Rename the task or the reminder, and the other side follows.
  • Due date & time: Change the date in the pill, in the Reminders app, or with Siri — the pill updates.
  • Priority: Exclamation marks on the task ↔ the reminder's priority.

Changes made while NotePlan wasn't running are picked up on the next launch — NotePlan will ask once whether it should update your notes automatically.

Removing the link

Delete the pill in the note (select and delete it like text, or use the Delete button in the pill editor) and the linked reminder is deleted in Apple Reminders as well. If you delete the reminder in the Reminders app instead, the pill in your note will be removed, but the task stays in NotePlan.

Good to know / current limitations

  • Shared spaces: Reminders are personal, so tasks in a space shared with other people can't be sent to Reminders. Use a private note or a space only you are a member of.
  • One task per reminder: A reminder can only be linked to a single task. Synced lines can't be combined with reminders yet for the same reason.
  • Recurring reminders: Title and date changes sync, but completing a recurring reminder is intentionally not synced between the apps (completing it would otherwise skip occurrences). Full recurrence support is planned.
